We are the data controller for the information described below. Our website is epic-floors.com.
What we collect
When you contact us — through a form, by email or by phone — we collect your name, phone number, email address, postcode, whatever you tell us about your floor, and any photographs you choose to attach.
When you visit the site — our host records standard server logs (IP address, browser type, pages visited) for security and troubleshooting. The site uses cookies for basic functionality; we do not run advertising or profiling cookies.
Why we use it, and our lawful basis
- To answer your enquiry and prepare a quotation — necessary to take steps at your request before entering into a contract.
- To carry out work you have booked — necessary to perform our contract with you.
- To keep records of jobs completed — our legitimate interest in running the business and handling any later questions about work we carried out.
- Security and fraud prevention — our legitimate interest in protecting the site.
We do not send marketing emails, and we do not sell or rent your details to anyone.
Who we share it with
Nobody, other than the service providers that make the site and our email work — our website host and our email provider — who process data on our behalf under contract. We may disclose information if we are legally required to.
How long we keep it
- Enquiries that do not become jobs — up to 12 months, then deleted.
- Completed jobs — 6 years, which covers the period in which a claim could be brought and our accounting obligations.
Your rights
Under UK GDPR you can ask us to give you a copy of the information we hold about you, correct anything inaccurate, delete it, restrict how we use it, or object to our using it. You can also ask us to transfer it to someone else. To exercise any of these, email info@epic-floors.com. We will respond within one month.
Complaints
Please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office — ico.org.uk, or 0303 123 1113.
